1. Introduce Your Company
Before diving into product specs, tell the manufacturer a little bit about who you are. Factories want to build long-term relationships with reliable buyers.
Give a brief introduction that includes:
- Your company name and website.
- Where you are located and your main market (e.g., North America, Europe).
- Your sales channels (e.g., Amazon FBA, large retail chain, independent boutique).
When we know your market and business model, we can often suggest better materials or packaging solutions that fit your specific audience.
2. Exact Product Specifications
This is the most important part of your RFQ. The more specific you are, the more accurate your quote will be. Never leave the manufacturer guessing about materials or sizes.
Be sure to include:
- Product Name/Type: What exactly are we making? (e.g., Waterproof silicone dog mat).
- Dimensions and Weight: Provide exact measurements (length, width, height, thickness) and the target weight of the product.
- Materials: What is the product made of? Don’t just say “plastic” or “fabric.” Say “BPA-free TPR” or “100% cotton canvas.”
- Colors: Do you need a standard factory color, or do you have a specific Pantone (PMS) color code you want us to match?
- Design Files: If this is a custom product (OEM), attach your tech packs, blueprints, 3D CAD files, or clear reference photos.
3. Branding and Logo Application
If you want your brand name on the product, the manufacturer needs to know how to apply it. The method used will change the cost of the item.
Tell the factory:
- Logo Size and Placement: Where does the logo go, and how big should it be?
- Application Method: Do you want it printed, embroidered, laser-engraved, or attached as a woven label?
4. Order Quantity
In manufacturing, volume dictates pricing. The cost to set up a machine to make 500 dog bowls is the same as setting it up to make 50,000.
Always state your exact target quantity for the order. If you want to see how the price drops as you buy more, ask for pricing across a few different tiers. For example: “Please quote for 1,000, 3,000, and 5,000 units.”
Tip: Always ask the factory what their MOQ (Minimum Order Quantity) is for the specific item, as it varies depending on the materials used.
5. Packaging Requirements
Packaging can add a surprising amount to the final cost and shipping volume of your pet products. A simple unbranded plastic bag costs pennies, while a full-color retail display box costs much more and takes up more space in a shipping container.
Let the manufacturer know:
- Inner Packaging: Polybags, blister packs, header cards, or custom color boxes?
- Outer Packaging: Do you need standard master cartons, or do you have specific drop-test requirements for e-commerce shipping?
- Barcodes/Labels: Do you need UPC codes, Amazon FNSKU labels, or warning stickers applied at the factory?
6. Compliance and Safety Standards
Depending on where you are selling your products, there might be strict safety laws you have to follow. This is especially true for pet toys, bowls, and treats.
If your market requires specific testing (like FDA compliance for food-contact items, or REACH for European chemical standards), state this clearly in your RFQ. The manufacturer needs to factor in the cost of compliant materials and potential lab testing fees.
7. Shipping Terms (Incoterms)
How are the goods getting from the factory to your warehouse? Your shipping terms tell the manufacturer how much of the logistics they are responsible for paying and organizing.
Common terms include:
- EXW (Ex Works): The factory just makes the goods. You arrange for a freight forwarder to pick them up from the factory door.
- FOB (Free on Board): The factory pays to truck the goods to the nearest local port and loads them onto your ship. You pay for everything after that.
- DDP (Delivered Duty Paid): The factory handles everything, including freight, customs, and taxes, delivering the goods right to your warehouse door.
If you aren’t sure which one to use, just tell the factory where your final address is and ask them to quote both FOB and DDP so you can compare.
8. Target Price (Optional but Helpful)
A lot of buyers are afraid to share their target price because they think the factory will just quote right at that number. But sharing your target price actually saves everyone time.
If you want a highly complex, custom-molded automatic pet feeder but your target price is USD 3.00, the factory can tell you immediately that it isn’t possible. If your target is realistic, it gives the manufacturer a clear goal to work toward when selecting materials and production methods.
9. Your Timeline
Finally, tell the manufacturer when you actually need the products.
- Do you need samples within 14 days?
- Does the bulk order need to arrive at your warehouse before the holiday shopping season?
Knowing your deadlines helps the factory check their production schedule to ensure they can deliver on time.
